7.0  OUTLOOK EXPRESS
To move or copy a message to another folder
  1. In the message list, select the message you want to move or copy.
  2. On the Edit menu, click Move to Folder or Copy to Folder, and then select the destination folder.
Tip
  • You can also move a message by selecting it in the message list and dragging it to a new folder.

To store messages on a mail server

Storing messages on a server is useful if you need to read mail from more than one computer. When you log on to your account from a different computer, Outlook Express downloads messages according to the options you have set. You can store messages on a POP3 server. If you have HTTP mail, such as Hotmail, or IMAP mail, your messages are always kept on the server.

  1. On the Tools menu, click Accounts.
  2. Click the mail account, and then click Properties.
  3. Click the Advanced tab, and then select Leave a copy of messages on server.

WORKING WITH LARGE NO. OF MESSAGES

1.       Viewing only certain messages

If you receive lots of messages, you may find it difficult to work with a full Inbox. Newsgroups, some of which have a high volume of messages, can be difficult to read as well. Outlook Express comes with a set of views that make it easier to work with your mail and news messages. You use these views to see only the messages you want to see. You can also create your own custom views using the View Manager.

The following topics provide more information:

a)      To use views to read messages

Outlook Express has default views that you can use without having to create custom views. On the View menu, point to Current View, and then click one of the following options:

  •       Show All Messages. This view shows all the messages in one of your folders, such as your Inbox—new and old, read and unread.

  •       Hide Read Messages. This view hides all the messages you've read, leaving only the messages you have not read.

  •       Show Downloaded Messages (use only with IMAP and newsgroups).
This view displays the messages that were most recently downloaded from the server.

  •       Show Replies to my Messages (use only with newsgroups). This view displays only messages that are replies to a message you posted on a newsgroup.

  •       Hide Read or Ignored Messages. This view hides messages that you have read or that you have applied the Ignore Conversation command to.

You can also choose to arrange Inbox messages by subject. To do this, on the Current View menu, click Group Messages by Conversation.

Note

·         The view you choose for a type of mail or news will stay in effect until you change it.

b)   To create and use custom views

In Outlook Express, you can create customized views to give you the exact view of your messages that you want.

1.     On the View menu, point to Current View, and then click Define Views.

2.     Click New.

3.     Select one or more conditions for the view you are creating.
(The View Description box describes the view as you create it. Add or delete conditions, as necessary, to create the exact view you want.)

4.     Click an underlined word in the View Description box to choose an option or to enter a value.

5.     Click Show/Hide to decide whether to show or hide the messages that meet the view conditions.

Note

·         If you create a view that causes messages to unexpectedly disappear from view, simply change the Show/Hide settings for the view.

 c)      To group messages and their replies together

When many people participate in e-mail and newsgroup conversations, the replies to a given message can be hard to track. You can set up Outlook Express so that message replies are grouped under the original message. You can then choose to view only the original message, or the message and all its replies.

  •       When you are in either your Inbox or a newsgroup, click the View menu, point to Current View, and then select Group Messages by Conversation.

  •       To display expanded conversations for all messages, click the Tools menu, click Options, click the Read tab, and then select the Automatically expand grouped messages check box.

Tips
  •       To display the original message and all replies to it, click the plus sign ( + ) to the left of the original message. To display only the original message, click the minus sign (  ) next to the message.

  •       Conversations are grouped according to the title of the original message. For example, if the message that starts a conversation is titled "Tips for using Outlook Express," all replies to that message will be titled "RE: Tips for using Outlook Express."

d)      To compact and back up mail folders

1.    Select a mail folder, click the File menu, point to Folder, and then click Compact.

2.    To back up the folder, find the folder file, and then copy it to a backup folder, floppy disk, or network drive. Outlook Express mail folders have a .dbx extension (for example, "Sent Items.dbx").

Notes
  •        Some message files might be too large to back up onto a floppy disk.

  •        If you are using a program other than Outlook Express to send e-mail messages to newsgroups, check your e-mail program's documentation for information about compacting and deleting mail folders.

e)      To increase disk space by deleting stored newsgroup messages
  1. On the Tools menu, click Options.
  2. On the Maintenance tab, select the options you want for maintaining the size of all message files on your computer.

To compact, delete, or remove messages from all or specific message files now, click Clean Up Now, and then follow the instructions on the screen.

Note
  • Most news servers periodically remove old messages. The next time you connect to a newsgroup you've cleaned up, your message file contains just the current messages from your news server.
f)        To remove copies of outgoing mail messages

By default, Outlook Express saves copies of the mail you send in the Sent Items folder. To save disk space, you can change this setting.

1.    On the Tools menu, click Options.

2.    On the Send tab, clear the following check box: Save copy of sent messages in the 'Sent Items' folder.

Tip

·      If you stop automatically saving copies of mail, you can still save a copy of a message by typing your e-mail name in the Cc box when you compose the message.

g)      To delete log files used for troubleshooting

To troubleshoot communication problems, you can set up Outlook Express to log all commands to and from mail and news servers. These files can get quite large, so it is important to remove them when you are finished troubleshooting.

  1. On the Tools menu, click Options.
  2. Click the Maintenance tab, and then clear any selected check boxes in the Troubleshooting section.
  3. Close Outlook Express, click the Windows Start menu, point to Find, and then click Files or Folders.
  4. In Named, enter the log file.

Log files are named by server type and have a .log extension (for example pop3.log, smtp.log). If you don't know the exact name of the log file, type *.log.

  1. In the Find results list, select the server log file, click the File menu, and then click Delete.
