4.0  Word Processing Package

4.11.3 Setting up Multiple Columns

  1. Switch to print layout view.

  2. To change the number of columns for the entire document, click Select All on the Edit menu.

  3. To change the number of columns for part of the document, select the text.

  4. To change the number of columns for existing sections, click in the section or select multiple sections.

  5. Click Columns, and then drag to select the number of columns you want.

4.11.4 Adjusting margins

  1. Switch to print layout view.

  2. Point to a margin boundary on the horizontal ruler or vertical ruler. When the pointer changes to a double-headed arrow, drag the margin boundary.

  3. To specify exact margin measurements, hold down ALT as you drag the margin boundary; the ruler displays the measurements of the margins. If you prefer to type the measurements, click Page Setup on the File menu, and then click the Margins tab.

  4. To change the margins for part of a document, select the text, click Page Setup on the File menu, click the Margins tab, and then set the margins you want. In the Apply to box, click Selected text. Word automatically inserts section breaks before and after the text with the new margin settings. If your document is already divided into sections, you can click in a section or select multiple sections, and then change the margins.

4.11.5 Hyphenating Documents

You can use the hyphenation feature to give your documents a polished and professional look. For example, hyphenation helps eliminate gaps or "rivers of white" in justified text. Hyphenation also helps maintain even line lengths in narrow columns.

  1. To hyphenate part of the document, select the text you want. And to hyphenate the entire document, make sure no text is selected.

  2. On the Tools menu, point to Language, and then click Hyphenation. If the Hyphenation command does not appear on the Language submenu, you may need to install the hyphenation tool.

  3. Click Manual.

If Word identifies a word or phrase to hyphenate, do one of the following:

  1. To insert an optional hyphen in the location Word proposes, click Yes.

  2. To insert an optional hyphen in another part of the word, use the arrow keys or mouse to move the insertion point to that location, and then click Yes.

Note:   For another way to manually hyphenate only part of a document, you can have Word skip over specific paragraphs during hyphenation. First, select the text you don't want to hyphenate. Click Paragraph on the Format menu, click the Line and Page Breaks tab, select the Don't hyphenate check box, and then click OK. On the Tools menu, point to Language, and then click Hyphenation. Click Manual, and then manually hyphenate as usual. (Note that if you've marked text with the Do not check spelling or grammar language format, Word doesn't hyphenate that text.)
