5.9.3 Formatting Data Using The Formatting Toolbar

5.9.3.1 Changing Number Format

Formatting toolbar has lot of buttons that you can quickly apply to numerical data on the worksheet. These buttons are – Currency Style, Percentage Style and Comma Style. Each of the style has a default number of decimal points that you can change with the help of Increase Decimal and Decrease Decimal buttons.

Before we try our hands make a note that when you change the number format, some of the cells might display a row of number signs (#) rather than the actual values. This indicates that the columns are not wide enough to display the entire numbers. If you simply increase the column width the actual numbers come in to display.

1.       Select cell B18:B19

2.       Click the currency style button on the Formatting Toolbar

3.       Similarly you can apply the currency style to all the columns.

5.9.3.2 Changing Date format

1.   Select cell A3, which contains the current date.

2.   Click the right mouse button. On the Shortcut menu, select Format Cells. The Format Cells dialog box opens.

3.    In the dialog box, click the Number tab, if it is not already selected. The number tab opens, displaying the formatting options for numbers. As you can see, there are many built-in number formats to select from.

4.    In the category: list, select Date.

5.    In the Type: list, select a day-month-year format (dd/mmm/yy). Click on OK button. The date display changes to the format you have selected.

5.9.3.7 Adding Borders

If you want to highlight a particular area of the worksheet or a specific cell, you can make use of Borders and Color formatting. You can add a single line or multiple lines along one side or around the cell; you can shade a cell in one of the many patterns of Colours.

1.   In the SALES.xls worksheet select A3:E3.

2.   On the formatting toolbar, click the down next to the Borders button. A palette with the different border opens..

3.   Click on any of the borders in Border palette and see how it affects the appearance of your worksheet.

4.   Try out some more borders.

5.9.3.8 Adding Colours

1.   On the Formatting toolbar, click the down arrow next to the Colour Text Button. A palette with different color options opens.

2.   Select A3:E3.

3.   Click the box having Blue Colour or any other colour of your choice.

4.   Next select cell range A5:E9.

5.   Click the box Red Colour, If you desire, you can click any other colour of your choice. The text of the cells changes to the colours of your choice.

6.   similarly you can shade the background if you click the down arrow next to the Colour button. Select a range and then click on the desired colour in the Colour palette.

7.   Close the palettes.

5.9.4 Removing gridlines of the worksheet

1.       On the Tool menu, click Options.

2.       Click the View tab if it is not already in view.

3.       Clear the Gridlines checkbox and click OK.

4.       Save the worksheet.

5.9.5 Customizes Formatting – Changing Default Currency Of $ To Rs.

The currency is displayed with a suffix - $ by default. This is because we have the default system currency style is $. W can change this with the help of certain sep:

1.   Click on the Minimize button of your worksheet.

2.   You will be back on the opening screen of the windows 95/98 (or the operating system you are using). Click on the Start button.

3.   Click on settings. Followed by Control Panel.

4.   Control Panel screen of windows is now open. Click on Regional Settings.

5.    Regional Settings Properties Windows is now on-screen. Click on the Currency tab and over $ symbol type Rs.

6.   Click on apply and then OK and exit out f Control Panel by clicking the close button. You may need to restart your computer before the changes are applied. After restarting when you will open your worksheet, you will discover that the $ is replaced by Rs.

5.9.6 Change The Font Of Entire Worksheet

Open worksheet of your choice and:

1.    Select the entire worksheet.

2.    On the Format menu, click Cells and then click the Font tab. The font choices are displayed.

3.    In the font box scroll downward and select any font of your choice.

4.    In the size box, select any size of your choice. Click OK once you are through with your selections. The dialog box closes and the font in your worksheet changes along with the point size you want.

5.9.7 Change To Font For The Entire Workbook

To change the font of the entire workbook, it is suggested that you change the style called as Normal. Normal is the name of the default style that every new workbook is formatted with.

1.    On the Format menu, click Style. The style includes list displays of all the formatting included in Normal style. When you apply a style to cells, all the formatting attributes of the style are applied.

2.    Click Modify and then click the Font tab.

3.    In the Font box, select any font and in size box, select any size you desire.

4.    Click OK to close the Format Cells dialog box and then click OK to close the Style dialog box.

5.    Select any worksheet of the workbook; you will see that the font has changes throughout the workbook. Even if you select a new worksheet and type a few words, you will find that the typing is formatted with the new font and size.
